DATA PROTECTION PRIVACY NOTICE

This notice explains why this website collects personal information, how we use it and what steps we take to make sure it is kept secure. It applies to anyone who shares personal information with us, including people who take part in our projects, volunteers, freelancers and job applicants.

We regularly review and, where necessary, update our privacy information. If we plan to use your personal data for a new purpose, we will inform you about the changes before starting any new processing.

A Hall for All is a campaign by the Acland Burghley Trust. Under the Data Protection Act 2018 and the EU General Data Protection Regulation 2016 (“Data Protection Law”) we have responsibilities when we process your personal information.

ABOUT THE INFORMATION WE COLLECT

We may collect your name, age, address and contact details from forms you submit. We also collect information to help us monitor equality, e.g. ethnic background, and some background information about you so that we can offer an appropriate creative activity/project, or process a job or volunteer application.

HOW WE USE THE INFORMATION WE COLLECT

If you are seeking to participate in a creative project or activity, we may need some information about your health and wellbeing, and details of any other services you are in touch with, so we can discuss with you the support and activities that might be most helpful and to ensure we safeguard all adults, children and young people involved in our work.

If you are applying for a job or volunteering opportunity, we request information that enables us to manage the recruitment process, and assess and confirm your suitability for the role.

Equality monitoring involves collecting “special category data” such as ethnic origin and sexual orientation, and is done to help us fulfil our commitment to creating a diverse, non-discriminatory environment. Providing this information is optional.

We use your personal contact details for the purpose of keeping in touch with you about our projects and activities.

HOW WE SAFEGUARD YOUR INFORMATION AND HOW LONG IT IS KEPT

Your information is only seen by people who are entitled to do so in order to carry out their duties and we have strict confidentiality practices.

Your information is kept securely on a protected online database and in password protected digital documents. We do not store or print your information on paper files and we do not transfer data outside of the organisation, both locally, nationally or globally, except in the event of an emergency or for a safeguarding related matter.

We have internal controls to ensure that your data is not lost, accidentally destroyed, misused or disclosed inappropriately. We also have procedures in place to deal with any suspected data security breach.

Personal data is kept only for as long as necessary or to fulfil legal requirements. The length of time will differ depending on the reason for us holding the data. Please ask if you would like to know how long we will keep your data.

Your rights to correct and access your information and to ask for it to be erased
